Privacy
Last updated: February 2026. This policy describes how SwimmingOS handles personal data in line with applicable data protection law, including the GDPR where it applies.
Role-Based Access Control
Access to data within SwimmingOS is controlled by role. Club owners, coaches, administrators, parents and swimmers each see only what is necessary for their role. We do not expose personal data beyond what is required for the service and your club’s chosen permissions.
Data Protection
We apply appropriate technical and organisational measures to protect personal data against unauthorised access, loss or alteration. Data is processed in line with our legal obligations and your instructions as the data controller (where applicable).
No Selling of Personal Data
We do not sell personal data. Data collected and processed through SwimmingOS is used to provide and improve the service, and as described in our terms and this privacy policy. We do not use your data for third-party advertising or marketing unrelated to SwimmingOS.
Clubs Control Their Data
Your club remains in control of its data. You decide who has access within your organisation, and you can request export or deletion of data in accordance with our terms and applicable law. We act as a processor where the club is the data controller, and support you in meeting your own privacy and GDPR obligations.
Analytics & Tracking
We partner with Microsoft Clarity to capture how you use and interact with our website through behavioural metrics, heatmaps, and session replay to improve our products and services. Website usage data is captured using first and third-party cookies and other tracking technologies to determine the popularity of features and online activity. We also use this information for site optimisation and fraud/security purposes. For more information about how Microsoft collects and uses your data, visit the Microsoft Privacy Statement.
